Occupancy Specialist Job Summary

We are currently seeking a full-time Occupancy Specialist to help oversee multiple apartment community portfolios out of our corporate office located in downtown Milwaukee, WI.

The ideal candidate will be responsible for managing HUD resident accounts in accordance with Government Subsidized Housing regulations. This is a full-time position requiring regular attendance in accordance with Metropolitan Associates attendance policy.

Occupancy Specialist Job Responsibilities Includes:

  • Occupancy Specialist schedules applicant appointments, prepare lease paperwork, and oversees completion of lease signings Complete third party verifications (i.e. income, assets, expenses).
  • Maintain and control confidential files and records.
  • Participation in weekly occupancy meetings.
  • Processes and reviews all documents furnished by tenants for annual re-certification as required by government regulations.
  • Data entry of new and updated tenant information.
  • Prepares and distributes necessary documents for tenant signature.
  • Provides customer service including; answering phone calls and responding to requests regarding re-certification requirements, complaints, etc. Meet with clients as needed to assist with their re-certification paperwork.
  • Performs varied clerical duties such as posting rent payments, data entry, final bill preparation, preparing and collating monthly reports. Prepares and mails form letters.
  • May prepare billings, rent certificates, and process department outgoing mail.
  • Processes vacate notices and unit transfers. Sends acknowledgment letters. Records and prepares weekly report for management. Prepares other reports as required for review by supervisor.
  • Follows Equal Opportunity Housing & Fair Housing rules in accordance with state and federal guidelines.

Occupancy Specialist Job Requirements Includes:

  • High school diploma or equivalent.
  • Certified Occupancy Specialist (COS) designation preferred.
  • Ability to address the concerns of current and future residents in a friendly and professional manner.
  • Strong organizational skills and an attention to detail.
  • Strong office skills.
  • High level of computer skills are needed.
  • Ability to handle a high volume of telephone calls from current and prospective residents.
  • Bilingual language capability in English/Spanish is a plus.
