The Senior Administrative Assistant is responsible for providing day-to-day support to the Cranbrook or Kingswood residence hall programs for the Upper School. The Senior Administrative Assistant must be highly organized, professional, possess high leadership skills, work effectively with people from diverse cultural backgrounds, and with little supervision. In addition, the assistant sets a tone in residential life as a home away from home for approximately 100-160 resident students ranging in age from 13-19. The assistant has frequent contact with parents and guardians. Office hours are 9:30am - 6:00 pm (Monday-Friday unless special events/meetings occur).

Responsibilities include, but are not limited to:

  • Provides administrative support to the residential life office including, but not limited to, telephone support, email, REACH software management, room assignment management, rotation calendar creation and changes.
  • In partnership with the Dean of Residential and Student Life and the Head House Advisor, works on roommate/hallmate matches and room placements.
  • Prepares and distributes the Annual Rotation Calendar.
  • Coordinates, prepares, and distributes the weekly Weekend Rotation Calendar.
  • Creates flyers for the weekend calendar and uploads them into the weekly Sway communication by Wednesday each week and posts them around the residence hall.
  • Updates residential white boards as directed, including posting birthday messages for all residents.
  • Assists House Advisers with the opening and closing of the residence hall in the fall and spring, including all coordination of Dorm Room Movers in June and August.
  • Coordinates logistics for Sit Down Dinners, including purchasing special gifts, preparation of invitations, collecting RSVPs, coordinating AV needs, etc.
  • Works closely with the Accounting Department in preparation of weekly petty cash reports, cash advances and other financial needs.
  • Submits and prepares detailed monthly purchasing card statements and detailed monthly reports on expenditures to the Dean of Residential and Student Life.
  • Coordinates and communicates with the housekeeping and facilities staff for cleaning needs, cleaning supplies, and maintenance issues.
  • Prepares work order for all residential issues.
  • Plans and purchases healthy daily snacks for residents.
  • Purchases supplies, decorations, and food items for residents for gatherings and events throughout the year.
  • Prepares catering requests with Dining Services and reserves rooms for events when necessary.
  • Reserves space and creates work orders for Residential Student Leader Training and Orientation annually.
  • Attends professional development workshops and training sessions.
  • Assists residents with internet, phone issues, and REACH software.
  • Maintains a pleasant, welcoming, and professional environment for visitors, parents, students, faculty and administrators.
  • Staffs the office over Labor Day Weekend (all weekend), MLK Day, Presidents Day, Memorial Day Weekend (Monday only), all Records Days, and any weekday when classes are not in session.
  • Manages the CranVan schedule, ensuring the van is filled with gas, and overseeing maintenance needs.
  • Maintains attendance, punctuality, and performance standards set forth in Cranbrook's employee handbook.

            Requirements:

            • High School Diploma or GED required, Associate's or Bachelor's degree preferred.
            • A minimum of four years Senior Administrative Assistant experience required, preferably in a large residential setting, service/sales, broad administration, or other office management position.
            • Extensive computer skills, including knowledge of all Microsoft Office products, Teams, Sway, and Canva. Working knowledge of Cranbrook-specific computer software would be preferred.
            • Requires a valid Michigan driver's license with satisfactory driving record.
